Home / Capture & Respond / AI receptionist or answering service? The honest comparison.
Capture & Respond · ComparisonBoth answer the phone you cannot get to. They are billed completely differently, and they are good at different calls. Here is where each one wins, including the cases where I would tell you to pay for a human being.
Or call and talk it through: (305) 215-6132| Live answering service | AI receptionist | |
|---|---|---|
| Who answers | A trained person reading your script | Software, in a natural voice, following the same script |
| Hours covered | Whatever you pay for; after-hours often costs more | Every hour, at the same price |
| How you are billed | $250–$975/mo, metered by the call | $249/mo, flat, regardless of call volume |
| A busy month | Costs more — overage per call beyond the bundle | Costs the same |
| Booking | Usually takes a message; booking depends on the plan | Books into the calendar you already use |
| Judgment on a hard call | A human being, which is the real advantage | Routes it to you rather than improvising |
| Knowing your business | As good as the script and the person that day | The same answer every time, and wrong until somebody updates it |
Figures are typical market ranges shown for illustration, not quotes from named providers. Many vendors price by seat, contact or location and keep pricing behind a sales call.
There is a real case for a live answering service, and I am not going to pretend otherwise. If a large share of your calls are people in distress, or complicated bookings with a dozen variables, or callers who will simply hang up on anything that is not a person, pay for the human. The money is well spent.
The case for the AI is everything else, and for most local businesses everything else is most of the calls. Hours. Do you do this. What does it cost. When can you fit me in. Those calls are answered identically at midnight and at midday, they never sit in a queue, and they do not get more expensive in your busiest month — which is exactly when an answering service bill climbs.
The billing difference is the part owners underestimate. A per-call bundle prices your growth: the better your marketing works, the more you pay to answer the phone. A flat monthly price does not.
Flat, published, and the same in your busiest month. See the full AI receptionist page for what it does on a call.
Usually, and the gap widens as call volume rises. Live answering services typically run $250–$975/mo, metered by the call, so a busy month costs more than a quiet one. The AI receptionist is $249/mo whatever the volume.
Many will work it out, and in practice most do not mind — what they disliked was the queue and the voicemail. Being straightforward about it works better than pretending.
Yes, and some businesses should: the AI takes the routine volume and anything it should not handle gets routed to a person. What you should not do is pay a per-call service to answer questions your website already answers.
This is where the difference is starkest. After-hours coverage is typically an add-on or a higher tier with a live service. It is included here, because the software does not work shifts.
Not on this. Growth, marketing and website services — including the website care plan — are month-to-month with no long-term commitment, and you can prepay annually for up to two months free. Payment processing is a separate thing: it is a merchant account and it has its own terms, which I go over with you personally on the free review so everything is clear before you decide.
Yes, any month. There is no cancellation fee and no notice period to argue about on the month-to-month services — I would rather earn the next month than hold you to a term you regret. If you cancel a website plan the domain is yours, registered in your name, and you can take the site elsewhere.
The Growth Audit is free and takes about two minutes to request. I look at what you have now and tell you straight what would move the needle first -- and what would not.
